Booking Procedures

 

1. Advance Individual Bookings

  • Members of the public who have registered as SmartPLAY patrons may make bookings for camp places via the internet booking service of the SmartPLAY system, mobile application or smart self-service stations three months in advance before camping dates.  For the months of booking and deadlines of e-application, please refer to the schedule below:

  • In case the number of booking applications exceeds the quota for the same camping date, the allocation of places will be determined by ballot by the system.  The date of ballot normally falls between the first and fifth days of each month.  For instance, for the camping period in May, ballot will be conducted between 1 and 5 February.
  • Successful applicants will be notified of payment by the system.  Those who have not received any notification on the 14th day of the ballot month may assume their bookings unsuccessful.  No separate notice will be sent to unsuccessful applicants.
  • Successful applicants must pay the camp fees by e-payment through the SmartPLAY system to complete the confirmation process by due dates specified in the notifications, or their bookings would be deemed to be withdrawn.  The camping periods or camp places in question will then be handled same as the “camp places left unfilled after the ballot”.

2. Bookings for Camp Places Left Unfilled after the Ballot

  • Patrons may view and book, on a first-come-first-served basis, any camp places left unfilled after the ballot via the internet booking service of SmartPLAY system, mobile application or smart self-service stations starting from 8:30 am on the 20th day of any month, while paying the camp fees instantly by electronic means.  The “Acknowledgement’ should be printed as proof.  For instance, on 20 February patrons may view and book the camp places left unfilled after the ballot within the period from the next tenth day to 31 May via internet or mobile application.  Bookings for camp places left unfilled after the ballot are on a first-come-first-served basis.  For the booking and camping dates, please refer to the schedule below:

    (Example: On 1st January, patrons can book the camp places left unfilled within the period from the tenth day after the day of booking, i.e. 11th January, to 31st March.)
    * Between the 20th and the end of the month Between the tenth day after the day of booking and the end of the third following month
    (Example: On 20th January, patrons can book the camp places left unfilled within the period from the tenth day after the day of booking, i.e. 30th January, to 30th April.)

3. Bookings for Camp Places Available within the Next Ten Days

  • Bookings for camp places available within the next 10 days should be made direct through telephone to the office of the respective holiday camp.  The deadline for all bookings (including day, evening and residential camps) is one day prior to the check-in date.  The Department will consider on-the-spot enrolment in the light of the actual situation in the camp(s) concerned.
  • Upon telephone reservation of camp places with the office of the respective holiday camp, those applicants who have registered as SmartPLAY patrons will receive notifications for reservation, and can pay the camp fees by electronic means via the internet, mobile application or smart self-service stations. For those non-SmartPLAY patrons, they must, within three days upon reservation or before specified dates, pay the camp fees in person with the reservation numbers and payment codes at any DLSOs or smart self-service stations.  Alternatively, they may use payment links to pay the camp fees online.

4. Priority Bookings by Groups/Organisations

  • Priority groups/organisations include:
  1. Local schools (including kindergartens, primary schools, secondary schools and special schools);
  2. Higher education institutions recognised by the Education Bureau (EDB);
  3. Subvented non-governmental organisations registered with the Social Welfare Department;
  4. Charitable organisations registered with the Inland Revenue Department; and
  5. National Sports Associations recognised by the Sports Federation and Olympic Committee of Hong Kong, China.
  • The above groups/organisations are given priority in making six-month advance bookings for day/evening/residential camp places.  Such arrangement is only applicable to normal school days, i.e. Mondays to Fridays, and except day/evening/residential camp places on public holidays, as well as residential camp places on any day preceding a public holiday.
  • Priority groups/organisations are required to send their completed booking forms to the respective holiday camps by post or by fax before the deadlines set out below:

* For July, bookings for holiday camp places can only be made on school days as specified by the EDB.
** Since there are no school days in August, such priority booking arrangement for priority groups/organisations is not available.

If bookings for the same camping period exceed the quota, camp places will be allocated by ballot at 3:00 pm on the fifth working day of each month in the offices of the respective holiday camps.  For instance, camp places in May will be allocated by ballot on the fifth working day of November of the preceding year.  Local schools are accorded priority in ballot.  The offices of the respective holiday camps will notify successful priority groups/organisations by email of payment of camp fees.

In case of any unfilled camp places after the ballot, priority groups/organisations may apply by making telephone enquiries and bookings direct with the offices of the respective holiday camps.
