Booking Arrangment

(1) Ordinary Bookings

Art Studios

Ordinary Booking applications are accepted not less than 2 weeks but not more than three months in advance to the day of hire and processed collectively (e.g. applications for 15 January 2002 to 31 March 2002 are accepted on 1 January 2002).

Completed application forms should reach the Booking Office of VAC before 5:00 pm on the last working day (12:00 noon for Saturdays) ahead of the latest booking date.

When the number of applicants applying for the same date(s) is more than the seats available, applications will be considered in accordance with the cultural content, relevancy to the designated use of the facilities and the organizing ability of the applicant.

Exhibition Hall

Ordinary Booking applications are accepted not less than 3 months but not more than 7 months in advance of the month of hire and processed collectively (e.g. applications for April to August 2002 are accepted in January 2002).

Completed application forms should reach the Booking Office of VAC before 5:00 pm on the last working day of each month (12:00 noon for Saturdays). A formal reply will be provided within 14 working days thereafter.

When more than one applicant applies for the same date(s), applications will be considered in accordance with the cultural content, arts promotion value of the proposed function, popularity of previous events and the organizing ability of the applicant.

Applications for non arts or non cultural activities will only be accepted 3 months in advance to the month of application with the exception for booking applications by the Government, Registered Schools and District Councils.

Lecture Theatre/ Multi-purpose Rooms

Ordinary Booking applications are accepted for a 6-month period and processed collectively twice a year, in January (for July to December period) and July (for January to June period).

Completed application forms should reach the Booking Office of VAC before 5:00 pm on the last working day of January / July (12:00 noon for Saturdays). A formal reply will be provided within 14 working days thereafter.

When more than one applicant applies for the same date(s), applications will be considered in accordance with the cultural content, relevancy to the designated use of the facilities and the organizing ability of the applicant.

(2) Late Bookings

Art Studios

Applications received after the Ordinary Booking period are considered as Late Bookings. Application will be processed on a first-come-first-served basis and will only be considered subject to operational feasibility.

Late Booking of Art Studios will only be considered from applicants with appropriate training or proven experience to use the equipment available.

Exhibition Hall

Applications received after the Ordinary Booking period are considered as Late Bookings. The applications are received each week during office hours from Saturday (from 9:00 am to 12:00 noon) to the following Friday (before 5:00 pm) except for Sundays and Public Holidays. They will be processed collectively subject to operational feasibility and in accordance with the criteria as for the Ordinary Booking applications.

Lecture Theatre/ Multi-purpose Rooms

Applications received after the Ordinary Booking period are considered as Late Bookings. Application will be processed on a first-come-first-served basis whereas applications less than 14 days before the first date of hire will only be considered subject to operational feasibility.

(3) Special Bookings

Functions involving overseas artists and/or requiring a longer lead-time for planning and preparation are eligible to apply for Special Bookings. Special Booking applications are accepted 24 months in advance of the month of hire and ahead of Ordinary Booking applications. Applications will be processed collectively in each month and in accordance with the criteria as for the Ordinary Booking applications. A formal reply will be provided within 14 working days thereafter.
